About the Role
We are seeking a highly organized, detail-oriented, and personable professional to serve in a dual-capacity role as Office Manager and Executive Assistant to the CFO in our growing New Orleans office. This is a unique and high-visibility opportunity to lead day-to-day office operations while providing executive-level support to a global finance leader.
As Office Manager, you will be the face of the company in a dynamic, cross-functional co-working environment that includes Finance, HR, and rotating groups such as interns and new hires. You’ll be responsible for creating a seamless workplace experience, ensuring the space runs smoothly, team members feel supported, and every visitor is welcomed with professionalism and warmth.
In parallel, you’ll provide high-level administrative support to the CFO, managing a fast-paced schedule, coordinating travel, and assisting with communications and strategic logistics. The ideal candidate brings executive polish, a proactive mindset, and a knack for structure — someone who thrives on being the go-to problem solver and takes pride in running a well-functioning, welcoming office.
Key Responsibilities:
Office Management
As the Office Manager, you will oversee the smooth day-to-day operations of our New Orleans presence, located within The Shop at the Contemporary Arts Center. This beautifully designed coworking space fosters creativity, collaboration, and a sense of community. You'll play a key role in supporting our growing team on-site, while partnering closely with The Shop’s professional staff, who provide on-the-ground support and shared facility management.
You’ll also collaborate regularly with the Executive Assistant to the CEO and the VP of HR to ensure alignment across company-wide logistics, culture-building efforts, and employee experience.
Your responsibilities will include:
- Serving as our company’s primary liaison to The Shop, managing arrival notifications, coordinating logistics for visitors and new hires, and acting as the central point of contact for all company-related use of the space.
- Managing communication and coordination for all company events held at The Shop, including internal meetings, team gatherings, or hosted programming, ensuring alignment with both our internal goals and The Shop’s collaborative community ethos.
- Partnering with The Shop’s staff to support space readiness, including conference room reservations, day-to-day troubleshooting, IT support needs, and ensuring access to amenities like shared kitchen areas, mail services, and rooftop space.
- Handling mail and packages for the team, working with The Shop’s front desk and mailroom to ensure timely receipt, tracking, and distribution.
- Leading the New Orleans onboarding experience for new employees, including workspace setup, welcome logistics, and orientation in partnership with HR and IT.
- Organizing and facilitating team events, meetings, catered lunches, and off-site activities, while also supporting workplace culture and team connection.
- Representing the New Orleans office in broader company workplace discussions, surfacing feedback, and contributing to a positive, inclusive, and functional employee experience.
Executive Assistant to the CFO
In addition to managing our New Orleans office, you will provide high-level administrative support to the CFO — a global finance executive — ensuring their time, communications, and commitments are handled with care and precision.
Your responsibilities will include:
- Owning a dynamic and high-volume calendar, prioritizing meetings and engagements in alignment with strategic business needs.
- Coordinating complex domestic and international travel, including flights, accommodations, agendas, and ground transportation.
- Preparing and submitting timely expense reports, and assisting with finance-related documentation, logistics, and project coordination.
- Managing communications and follow-ups, ensuring timely responses and task tracking across multiple stakeholders.
- Supporting occasional high-profile meetings — including board or investor sessions — by handling scheduling, materials preparation, and on-site logistics such as catering and room setup.
- Finance Support (time-permitting, beyond core duties)
- While your primary responsibilities will center on office operations and executive support, you will also assist the Finance team on select initiatives, time permitting. In this capacity, you may:
- Support documentation workflows related to shareholders, customers, vendors, and due diligence, including preparing, organizing, and sharing materials like financial statements, organizational charts, and personnel data.
- Help maintain a secure and up-to-date data room to ensure “transaction readiness” for audits, fundraising, or strategic reviews.
- Act as a cross-functional liaison, coordinating with internal teams to gather accurate, time-sensitive information in support of financial operations and compliance.
What We’re Looking For:
- 5+ years of experience as an Executive Assistant, Office Manager, or similar role, ideally supporting C-level leaders in a startup or high-growth environment.
- Exceptional organizational and multitasking skills with the ability to prioritize effectively in a fast-paced setting.
- Professional presence with the ability to interact confidently with senior leaders, visitors, and external stakeholders.
- Friendly, upbeat personality with positive energy and team spirit — a natural cheerleader who can foster community and be the welcoming face of the office.
- Strong proficiency with Google Workspace, Slack, Zoom, Artificial Intelligence, and basic financial tools (e.g., Concur, Expensify).
- High level of discretion and trustworthiness — you’ll be handling confidential information regularly.
- Proactive, flexible, and collaborative mindset; someone who takes ownership and gets things done without needing constant direction.
